THE INBOX — ONE PLACE FOR EVERY CUSTOMER CONVERSATION
Your customers text, email, and message from the portal. Now it's all in one Inbox.
Portal messages, text messages, and email replies all land in one view — attached to the right customer, visible to the whole office, and answerable from a single composer. No dispatcher's personal phone. No lost Gmail replies. No handing over your mailbox to a vendor.
One inbox
Portal, text, and email conversations in a single view
Two-way SMS
Customers text your business number; you reply from the Inbox
Two-way email
Replies thread back — no Gmail or Outlook login required
Every channel
Customer profiles show one unified Communications timeline
EVERY CHANNEL, ONE VIEW
Portal, text, and email — same Inbox, same composer.
The channel is just a label on the conversation. You reply on whatever channel the customer used — you don't pick it every time. Filter pills switch between them; a search box finds any conversation by customer name, phone, email, or ticket number.
Portal messages
Customers still see Support in their portal and message exactly as before. Typing indicators, read receipts, and full history live inside the portal-channel conversation.
Two-way text (SMS)
Customers text your business number. Their message lands in the Inbox with a delivery chip, an admin notification, and automatic customer matching. Reply right from the thread — you never pick the channel.
Two-way email
Emails you send from a conversation carry a special Reply-To. When the customer replies, it threads back into the same conversation and a copy still lands in your Gmail or Outlook. Nothing lost.
TWO-WAY EMAIL WITHOUT THE SECURITY REVIEW
Keep your Gmail. Keep your Outlook.
Get the replies anyway.
Every organization gets a personal inbound email address. BCC it from your own mailbox, or set a forwarding rule for cold inbound, and customer email lands in the Inbox — attached to the right customer, visible to the whole office.
No mailbox connection. No OAuth grant. No Google security review or Microsoft certification. PortaPro only sees the mail you route to it.
Replies to emails you sent from the Inbox are captured automatically — no setup on your side.
Cold inbound and mail sent from your own inbox are captured via BCC or a Gmail/Outlook auto-forward rule.
Captured replies are still forwarded to your mailbox so Gmail and Outlook stay complete.
No mailbox handoff required. The Email Inbox Capture toggle lives in Settings → Company Sending. Turn it off any time.
Copy your inbox capture address
Settings → Company Sending → Email Inbox Capture. Every organization gets a personal inbound address.
BCC or auto-forward
BCC that address when you email a customer from your own Gmail or Outlook. Or set a forwarding rule that catches cold inbound automatically.
Threaded to the right customer
PortaPro matches by email address. Unknown senders land as unmatched conversations you can link with one click.
Everyone in the office sees it
New inbound fires the same bell + push notification whether it came in by portal, text, or email.
TWO-WAY TEXT (SMS)
Customers text your business number.
You answer from the Inbox.
Inbound texts land in the Inbox as SMS conversations — marked unread, attached to the right customer, with the same admin notification as any other channel. If the number isn't on file yet, it's captured as an unmatched conversation you can link with one click. Nothing gets dropped in a dispatcher's personal phone.
Delivery status
Sent, delivered, or failed — updated from carrier receipts. Hover a failed chip for the reason.
STOP / START
Opt-outs are honored automatically. An opted-out number can't be texted again until it texts START.
Requires Twilio A2P 10DLC complete and SMS status active in Settings → SMS. Portal and email work independently.
Hey — we need one extra ADA at the Elm St site by Friday.
Got it. I'll add it to the Friday delivery run and confirm timing this afternoon.
delivered
Perfect, thanks.
UNIFIED CUSTOMER TIMELINE
Every conversation on the customer's profile.
Open any customer → Activity → Communications. One chronological list, newest first — every portal thread, every text, every email, plus that customer's supply requests. Filter by channel; click any row to open the thread. The old Outbound / Support Inbox toggle is gone.
Filter pills
All · Portal · Text · Email · Requests. Same pills on the Inbox and on the customer timeline.
Newest activity first
The list sorts by the most recent message, so what needs attention is always at the top.
One-click reply from context
Open a thread from the timeline, reply — the message goes out on that conversation's channel automatically.
Legacy vs PortaPro
Scattered conversations vs. the PortaPro Inbox
What changes when every channel lives in one place, on the customer profile, visible to the whole office.
Land in the dispatcher's personal phone. Nobody else sees them.
Land in the Inbox, attached to the right customer, visible to the whole office.
Go to a no-reply@ address or to whoever sent the invoice — with no thread on the account.
Thread back into the customer's email conversation. Every reply on the customer profile forever.
Lives in one person's Gmail. Requires 'let me forward you what he said' to loop in a teammate.
A Gmail or Outlook forward rule catches it. Everyone in the office sees the thread on the customer.
Required by most tools that promise two-way email. Triggers a Google security review.
Not required. PortaPro only sees the messages you route to it.
Split across Slack, personal texts, Gmail threads, and a support tab nobody remembers to check.
One Communications timeline on the customer profile — every channel, one chronological list.
