RATE CARD & CYCLE BILLING
One Rate Card. 13 Cycles.
Every Invoice In One Click.
The Rate Card is the source of truth for what every customer pays — per-site rates, per-customer defaults, native 28-day cycles. When a cycle closes, draft every invoice for your entire book in one click. Built for portable sanitation, not bolted on.
SOURCE OF TRUTH
The contract lives where the work happens.
Every customer is different. Most billing software makes you bend your business around its data model. PortaPro doesn't — the Rate Card is a tab on every customer profile that holds the full contract: every site, every unit, every cadence, every rate.
ON EVERY CUSTOMER
One Rate Card. Every site, every rate.
The Rate Card holds the full contract for a customer. When the cycle closes, PortaPro pulls every active site, calculates the current cycle window, and generates a draft invoice — one line per location plus any Additional Charges.
| Location | Equipment | Frequency | Billing Period | Rate |
|---|---|---|---|---|
| Job Site A — 1402 Industrial Pkwy | 4 × Standard Unit | Weekly | Per Month | $740.00 |
| Job Site B — 88 Riverbend Rd | 2 × Handwash Station | Weekly | Per Month | $190.00 |
| Job Site C — 7 Marlin Ave | 6 × Standard Unit | 2× / week | Per 28-Day Cycle | $1,320.00 |
| Damage Waiver | — | — | Flat | $150.00 |
Run the same logic for a single customer, or across your entire book at once with Batch Cycle Rollup — more on the one-click sweep below.
BILLING PATTERNS
Built around how you bill.
Four patterns cover every operator we've talked to. Mix any combination across sites for the same customer — monthly on three sites, a flat-rate deposit on a fourth. The Rate Card holds it all and the math works out automatically.
The most common pattern. Each unit billed at a monthly rate.
Industry standard for established operators. 13 cycles a year, aligned to weekly routes.
Shorter billing horizons or specific weekly cadence agreements.
One-time arrangements, deposits, and event setups.
28-DAY CYCLES
13 cycles a year, not 12.
The industry-standard billing cadence — 13 cycles per year, mapping cleanly to four weekly service visits. Native to PortaPro from day one, not bolted on with workarounds. Most cycles drift across two calendar months; the Rate Card anchors every one to the customer's start date, so the math stays exact.
13 cycles per year at the same per-period rate produces ~8.3% more annual revenue than monthly billing. Pair a per-28-day rate with a 28-day cycle and the invoice math is exact — 5 units × $185.00 × 1 cycle = $925.00 — while mixed rate periods normalize automatically to a comparable monthly equivalent.
AUTOMATED CYCLE BILLING
Eight hours of billing becomes one click.
Billing day used to mean opening QuickBooks, opening the route tool, cross-referencing completed services, and building each invoice by hand. PortaPro replaces all of that with one button: Run Billing Cycle. It sweeps every customer whose cycle just closed — every active location, every Additional Charge — and shows you the full preview before anything sends.

Duplicate prevention is automatic
Run the batch in the morning, run it again at the end of the day. If a customer already has a Cycle Invoice for the period, they're skipped — no duplicate invoices, ever. Catch the late-closing cycles without thinking about it.
Drafts, always drafts
Nothing leaves PortaPro without your final review. Edit any line, adjust the period, add notes, or kill the invoice entirely. The system suggests; you decide what hits a customer's inbox.
AUTO-PAY
Approve the draft. Auto-pay does the rest.
Once the draft is sent, auto-pay charges the card on file when the invoice comes due — no chasing, no follow-up call, no stalled A/R. Payment methods are securely stored via Stripe and enrolled through Link, so returning customers save their card once and reuse it in one tap.
Securely stored via Stripe
Card and ACH data is tokenized and stored inside Stripe's PCI Level 1 vault — never on PortaPro servers. Customers update their own payment method through the portal; you never handle raw card numbers.
One-tap checkout with Link
Link (link.com) is Stripe's saved-payment network. A customer who has used Link anywhere can enroll in autopay for their next invoice in one tap — faster first payment, higher completion, fewer stalled invoices.
See how payments work end-to-end — card, ACH, receipts, refunds — on the Payment Processing page.
PRICING WATERFALL
Three layers, one source of truth.
Every line item — a quote, a job, a manual invoice — resolves through a clear hierarchy. A source badge on every line shows which layer was used, so you can trace any price back to its origin in seconds.
Override the price inline whenever you need to. The system suggests; you decide.
